Vendors

Thank you for your interest in participating as a Vendor in the 2018 Spruce Grove Canada Day Celebration. As per the chart above, anyone selling product, beverage or food is a vendor.  Please read the 2018 Vendor Rules and Regulations  for details.  

Upcoming Vendor Dates and Required Documents

March 1  Accepting applications from returning vendors In good standing
March 29 Deadline for returning vendor applications
April 6 Accepting applications from NEW vendors - limited spaces available.

Vendors who sell unique and interesting food, beverages, non-food products or home-based business products preferred.

Required documents:

  • Completed New Vendor Application Form  
  • $200 Deposit Cheque - This will be returned to you, uncashed, after the event if no Vendor Rules or Regulations have been broken
  • Completed 2018 Power/Water/Ice/Tent Form  
  • Separate Power/Water/Ice/Tent Fee Payment (Fees only apply if you require anything other than two 15 amp plug-ins)*
  • Signed and dated 2018 Vendor Rules and Regulations  
  • Dimensionally accurate diagram OR recent photo of your interior AND exterior set up
  • A FULL list of products being sold on site. Once approved, your product list MAY NOT be altered
April 27  Deadline for ALL vendor applications 
May 11 Notification will be sent to successful new vendor applicants 
May 25   Supporting vendor documents that MUST be submitted by this date:
  • Proof of $2,000,000 Commercial General Liability Insurance with the City of Spruce Grove listed as "Additionally Insured"
  • Valid Food Handling Permit OR a completed Alberta Health Services Vendor Notification Form  (food vendors only)
  • Detailed diagram of any tent larger than 10' x 10' feet with an engineering approved stamp
Vendors must receive pre-event approval from Spruce Grove Fire Services by May 25 in order to be fully accepted. Food trucks and trailers must submit units for a pre-event inspection or provide proof of recent fire inspection from Spruce Grove, Edmonton, Leduc, or Strathcona County. Vendors using their own tents must submit proof that tents are fire-resistant as per Vendor Rule 12. Contact the Fire Prevention Officer at 780-962-4496 or send an email   to schedule an inspection or to submit photos or documents. All vendors must comply with the Spruce Grove Fire Services Special Event Requirements  .
June 30 /July 1 Load in/Set up 
July 1 or 2 Tear down/Load out 
July 13 Deadline for 15% commission payment

* Payment can be made by cash, cheque, or credit card. Payment will be processed only upon acceptance of your application. Once processed the Power/Water/Ice/Tent fee is non-refundable. If your application is declined payment will be returned to you.

Thank you for your interest in participating as an exhibitor in the 2018 Spruce Grove Canada Day Celebration. As per the chart above, an exhibitor promotes a not-for profit organization, charity, or business but does not sell anything.

•             Separate $100 Deposit Cheque - This will be returned to you, uncashed, after the event if no Exhibitor Rules or Regulations have been broken.

May 11 Deadline for exhibitor applications
May 18 Notification sent to successful exhibitor applicants
May 25 Deadline for exhibitors who are using their own tents and setting up outside the exhibitor tent to submit proof of $2,000,000 Commercial General Liability Insurance with the City of Spruce Grove listed as "Additionally Insured" AND to submit proof that their tents are fire-resistant
June 30/July1 Load in/Set up
July 1 or 2 Tear down/Load out
